Position Overview: The Contracts Manager will oversee the procurement and contractual management aspects of the energy efficiency initiative. This includes drafting, negotiating, and managing contracts with contractors, suppliers, and service providers. The role is responsible for ensuring that all contractual obligations are met, while managing risks, compliance, and resolving disputes effectively. The Contracts Manager will work closely with legal teams, technical teams, and project leadership to ensure the project is executed smoothly and in compliance with legal and financial standards. Key Responsibilities:
Contract Development & Negotiation: - Draft, review, and negotiate contracts related to Energy Saving Performance Agreements, procurement, services, and installations, ensuring they meet project objectives, timelines, and budgetary requirements.
- Ensure contract terms are clear, and manage risks through effective clauses that protect the client’s interests.
- Developing Energy Saving Performance Agreements, including the measurement and verification methods along with related dispute resolution terms and conditions, managing the supply chain and ensuring contracts align with third-party funding bodies and accreditation standards.
Contract Administration: - Oversee the execution and management of contracts, ensuring all parties meet their obligations and contract amendments are made as necessary.
- Manage and inspect ongoing works on-site, ensuring compliance with contractual agreements, specifications, and timelines.
- Keep thorough records of contract performance, including site visits, snagging sheets, completion certificates, and any necessary rectification processes.
Risk Management & Dispute Resolution: - Proactively identify and address contractual risks, ensuring early intervention to prevent delays or budget overruns.
- Handle disputes and claims efficiently, working with legal teams and contractors to ensure resolutions that are fair and minimize project impact.
Compliance & Standards: - Ensure that all contracts comply with local and international standards, especially those related to energy efficiency and industrial regulations.
- Prepare and manage project-specific Risk and COSHH Assessments, Method Statements, and ensure all documents are updated as required throughout the project.
Collaboration & Stakeholder Management: - Work closely with site supervisors, technical teams, procurement teams, and subcontractors to ensure a seamless flow of communication and that contract terms are fully understood and implemented.
- Establish strong, long-term relationships with funding agencies, contractors, suppliers, and other stakeholders to facilitate effective project delivery.
Financial Management & Reporting: - Manage contract-related finances, including procuring materials, plants, and subcontractor services in line with project schedules.
- Monitor contract costs, ensure timely payment of invoices, and manage variations in scope or additional works in line with agreed-upon contract terms.
- Provide timely reports on contract performance, budget status, and any deviations from the project plan.
Training & Compliance: - Ensure that all operatives and contractors are adequately trained and certified to perform their roles, managing compliance with safety and operational standards.
- Conduct regular site visits and inspections to ensure that the installation of energy efficiency measures meets or exceeds both manufacturer specifications and project standards.
Required Qualifications and Experience: Education: Bachelor’s or Master’s degree in Law, Contract Management, or a related field. A Certified Professional Contracts Manager (CPCM) or equivalent certification is preferred.
Professional Experience: 15+ years of experience in contract management, with at least 8 years in large-scale industrial or energy projects. Technical Expertise: - Strong knowledge of contract law, procurement processes, and risk management.
- Familiarity with energy efficiency standards and best practices, particularly in industrial settings.
- Experience with contract management software and tools for managing project documentation and reporting.
Key Competencies: Excellent negotiation and conflict resolution skills. Ability to manage multiple contracts and vendors simultaneously, ensuring compliance and efficient delivery. Strong organizational and communication skills to work effectively with stakeholders and contractors. Language skills: Proficiency in English
